Teams, submissions, project evidence, judge access, assignments, scoring, finalist preparation and results.

04Venue readiness & event operations+

Venue advice, an event lead, agreed staffing, rehearsal, presentation transitions and main-stage demo operations.

05Content & post-event handoff+

Branded finalist recordings with the agreed setup; available recordings, project links, results, recap and permission-aware registration/check-in reporting within five business days.

One agreed setup and rehearsal window. Final staffing and coverage hours are confirmed before engagement.

Premium includes one visual direction and two consolidated revision rounds. Asset counts, sizes, quantities, copy ownership, approvals and production deadlines are agreed before work begins. Essential uses a reduced asset list and excludes the full stage graphics suite and broader premium collateral.

Scope, costs & responsibilities

Estimate in USD for one in-person, full-day hackathon for up to 300 builders, with one agreed setup and rehearsal window. Physical production, printing, fabrication, shipping, rentals, installation, venue, AV, connectivity, catering, prizes and professional photography/video are additional. Custom modules, extra staffing, expanded scale or schedule, applicable taxes and travel are quoted separately. Final deliverables, staffing, quantities and terms are confirmed in a statement of work.

Your team supplies technical experts, approved challenge criteria and technical content, platform credits, speakers, judges, brand assets and timely approvals, plus an MC unless selected. You and your vendors fund and deliver third-party event services and physical production.

Third-party purchases are itemized at cost for approval before ordering. Payment terms, revision limits, approval deadlines and production cutoffs are confirmed before work begins.
